A vending machine business places machines in locations such as offices, schools, gyms, and shopping areas, stocks them with products, and earns revenue when customers make purchases. It is often described as low-effort, but it still requires locations, restocking, maintenance, and cash or payment handling. Results vary widely by location quality and machine type.
This guide explains how the model works, the types of machines, what costs to expect, how to evaluate a vending route for sale, and common risks. It does not promise earnings, because vending results depend on foot traffic, product mix, and operating discipline.
Key takeaways
- Location is the biggest driver of results. A good machine in a poor spot underperforms.
- Restocking, repairs, and payment processing create ongoing work.
- Used routes can provide existing locations but must be verified with sales records.
- Be cautious with offers that sell machines along with guaranteed locations or income.
- Check local permits, health rules for food items, and sales tax obligations.
How does a vending business work?
- Secure locations. You agree with a property owner or manager to place a machine, sometimes paying a commission or fee.
- Buy or lease machines. New and used machines are available.
- Stock products. You purchase inventory from wholesalers or retailers.
- Service the route. You visit to restock, clean, collect cash, and fix issues.
- Track sales. Modern machines report inventory and sales remotely, helping you plan visits.
Types of vending and automated businesses
- Snack and beverage machines: The classic model, often placed in offices and schools.
- Combination machines: Sell both drinks and snacks.
- Healthy-food vending: Targeted to gyms and workplaces, with product freshness concerns.
- Coffee and hot beverage machines: Higher margins in some settings but more maintenance.
- Specialty and novelty machines: Items like personal care products, electronics accessories, or toys.
- Micro-markets and kiosks: Self-checkout areas for offices.
- Automated retail: Newer machines that sell a wider range of goods.

What does it cost to start?
Costs depend on machine type and condition, so get written quotes. Plan for:
- Machines (new or used) and delivery
- Card readers and payment processing fees
- Initial inventory
- A vehicle suitable for restocking
- Insurance
- Permits or licenses, including food-handling rules if applicable
- Storage space for stock
- Repairs and spare parts
How to find good locations
- Look for steady foot traffic over long hours, such as factories, hospitals, warehouses, and large offices.
- Choose places without nearby convenient alternatives.
- Talk to property managers and explain the benefit to tenants or employees.
- Confirm who handles power, placement, and access.
- Avoid locations that require exclusive terms you cannot meet.
Evaluating a vending route for sale
- Request sales data by machine for at least a year, backed by bank deposits and supplier receipts.
- Visit machines yourself at different times.
- Read location agreements and see whether they transfer to a new owner.
- Check machine age, condition, and repair history.
- Ask how much time the owner spends servicing the route.
- Confirm that the price is not based on claims of potential income you cannot verify.
Warning signs
The FTC warns buyers about sellers who make earnings claims without supporting documentation. Vending offers sometimes advertise locations that turn out to be low-quality or nonexistent. Ask for the disclosure document required under the Business Opportunity Rule, talk to current owners, and verify any locations promised.
Frequently asked questions
Is a vending business passive income?
Not entirely. You can reduce hands-on time with technology or staff, but restocking and maintenance still need to be handled.
How many machines do I need?
There is no standard number. Many owners start with a few machines, learn what works, and expand.
Do I need a license?
Requirements differ. Check local business licensing, health department rules for food items, and sales tax registration.
How does the economics of a vending route work?
Vending revenue is the price customers pay minus the cost of the product, payment processing fees, commissions to location owners, machine depreciation, repairs, and your travel time. Because each sale is small, a few percentage points of cost can matter. Owners track results per machine, not just per route, and remove machines that consistently underperform. Seasonality also matters: a school machine may be quiet in summer, while an outdoor machine may sell more beverages in warm months.
Pros and cons at a glance
| Advantages | Drawbacks |
|---|---|
| No storefront or full-time staff required to start | Restocking and servicing are recurring physical work |
| Machines work when you are not present | Vandalism, theft, and breakdowns can occur |
| Can be started small and expanded | Good locations are competitive |
| Digital reporting improves planning | Product spoilage is a risk for fresh items |
Questions to ask a vending seller
- How do you document sales for each machine, and may I see the original reports?
- Who owns the machines, and are any financed or leased?
- Are location agreements in writing, and will the property owners accept a new operator?
- How often is each machine serviced, and by whom?
- What are the commission arrangements with locations?
